Administration and Office Management

The administration and office manager supervises administration staff, design office work systems, maintain communication systems for the office, both internal and external and is responsible for efficiency within the office. This program develops the skills and knowledge of administration and office managers in the areas of administrative efficiency, effective communications, and optimization of organizational resources. During the program, applicants will learn from real business applications and case studies. This course is suited for existing administration and office managers, executive secretaries, office coordinators, and administrative assistants.  

WHAT WILL YOU LEARN?

This course will cover the following topics:

  • Office functions and systems. 
  • Organize all office resources, including stationery and corporate collateral. 
  • Duties and responsibilities of administration and office managers.
  • Understand an organization chart, organization structure and how it benefits the organization’s goals.
  • Establish goals and objectives in collaboration with management.
  • Develop administration policies and procedures. 
  • Understand the features of a workspace and its impact on productivity. 
  • Manage office equipment, including computers, printers, copiers and other machinery. 
  • Develop administration filing systems. 
  • Write effective business letters, memorandums, reports, company newsletters and other documentation.  
  • Support HR functions with staffing and employment, staff orientation and introduction to all staff. 
  • Develop internal and external communication processes to make sure important information is not missed.
  • Manage conferences and meetings as well as prepare agendas and meeting minutes. 
  • Manage reception responsibilities and make sure the front desk is always efficient. 
  • Manage and oversee company travel. 
  • Coordinate and manage company events including conferences. 
  • Develop an impeccable customer service approach. 
  • Develop an understanding of financial systems and how expenses are recorded or company purchases are made. 
  • Maintain confidentiality of company documentations. 
  • Coordinate with various departments on resources such as computer systems, laptops, telephones and smartphones. 
  • Address employees’ queries regarding office management issues
